Five Call Metrics Every Aesthetic Clinic Should Track

Most clinics know how many calls they get. Fewer know how many are answered, how many become consults, and how many of those patients come back. These five numbers show whether the phone line is doing its job. Measure each one from a baseline before any change, and set targets from your own sprint, not from a benchmark.

1. Calls answered, including after hours

Count the calls answered, split by day and by after-hours. The gap between calls received and calls answered is where patients are lost. Track it weekly so you can see whether it is shrinking.

2. Consults booked from calls

How many calls end in a booked consult. This is the number that connects the phone line to revenue. Track it by treatment type or location where you can.

3. Returning patients rebooked

For a medspa, the second visit is often where the value is. Track how many patients who have had a treatment rebook through the phone line, and how long it takes them to do so.

4. Escalations, and why

Escalations are calls the agent passes to a person. Count them and record the reason. A rising number for one reason tells you the script needs a clearer answer, or that the escalation rule should be reviewed. A falling number is not always good news, so check the reasons too.

5. No-shows

No-shows are where a booked consult fails. Track them separately for consults booked by the agent and by staff, so you can see whether the booking process affects attendance. Reminders and confirmations are part of the process we agree during the sprint.

How to read the five together

Read them as a set. If calls answered rises but consults booked stays flat, the agent is answering but not converting, so check the booking step. If escalations rise alongside consults, the agent is doing its job and the rules should be reviewed. Review the set each month with your team, and agree one change at a time.

Weekly reports bring these numbers together, and the monthly sprint reviews them against the targets you agreed.
